Using the Meetings Assistant
The Meetings tab is where Ping captures, organizes, and analyzes all of your client conversations. It helps ensure your client intelligence and client memory are as accurate and complete as possible by bringing every interaction into one place.
What you’ll see in the Meetings tab
When you click Meetings, you’ll see a list of:
Upcoming meetings, pulled directly from your connected calendar.
Past meetings, including recordings, transcripts, and analysis.
For in-person meetings or meetings without an online link, you’ll see them labeled as Offline.
How Ping captures client conversations
To build strong client context, Ping needs access to all your communications. There are multiple ways Ping captures this information.
Automatic capture
Email is captured automatically once your email is connected.
Calendar meetings are joined automatically when they’re scheduled on your calendar.
Manual capture options
If a meeting isn’t scheduled on your calendar, you can still capture it.
Follow these steps:
Click Join Meetings.
Select Meeting Platform and paste the meeting URL.
Start the meeting so Ping can join and take notes.
Phone calls
You can also record phone calls with clients.
Follow these steps:
Enter your phone number in the Phone Call option.
Ping will call you and announce that it is recording.
Merge your client into the call to record the full conversation.
Live audio from your computer
For in-person or informal conversations:
Click Live Audio.
Start recording through your computer.
Upload the recording and link it to a client afterward.
Upload external recordings
If you recorded a conversation on your phone or another platform, you can upload that file directly and attach it to the correct client.
Reviewing upcoming meetings
Upcoming meetings are pulled from your calendar. If a meeting is online and Ping is not automatically attending, you can manually toggle the note-taker on or off.
Offline meetings appear when there’s no virtual meeting link.
Reviewing past meetings
Click any past meeting to open the full meeting view.
Pre-reading and preparation
Before a meeting, you can:
Add notes
Create an agenda
This information can be referenced later in your meeting notes.
Meeting notes and analysis
After the meeting, Ping generates a detailed meeting analysis that:
Breaks the transcript into useful categories
Pulls out key topics and context
Highlights important details specific to accountants
Lists all questions and answers discussed during the meeting
This makes it easy to review what mattered most without rewatching the entire recording.
Asking questions with Ask Ping
One of the most powerful features is Ask Ping.
You can ask questions like:
When did the client ask about a specific topic?
What was said about a certain feature or concern?
Ping will:
Find the relevant moment
Show the exact timestamp
Let you jump directly to that point in the recording
Follow-up emails and actions
From a meeting, Ping can:
Draft follow-up emails
Customize the message with the client’s name
Open the draft directly in Gmail if you’re connected
You can edit, copy, or send the email right away.
On the right side of the meeting view, you’ll also see Action Items, which are tasks that need to be completed after the meeting. You can review, delete, or act on these to stay organized.
Sharing and searching meetings
Within a meeting, you can:
Add participants
Share the meeting with your organization
Watch the full recording
Search the transcript and jump to specific moments instantly
Accessing meetings from a client page
From any client page, you can:
Open the Meetings tab.
Select a meeting.
Click Meeting Page to jump to the full meeting view with all details.
Conversation insights
Ping also provides insights into your communication style, such as:
Talk time versus listening time
Emotional signals like gratitude, concern, or stability
Timestamps for key moments so you can review them quickly
These insights help you improve how you communicate with clients over time.
