Import Clients Overview

Importing clients with a CSV or Excel file is the fastest way to add multiple clients and contacts into Ping at once. This is especially helpful if you’re onboarding to Ping or migrating from another system.

Start the Client Import

You can begin the import directly from the Clients page.

Follow these steps:

  1. Open the Clients page from the left-hand menu.

  2. Click Import Clients.

  3. Select your CSV or Excel file from your computer.

Once selected, Ping will show a preview of your file.

Match Your Columns

After uploading your file, Ping displays a preview with your column headers and rows.

You’ll need to confirm how each column maps to Ping fields:

  • Client Name must be selected manually if it doesn’t auto-match.

  • Contact Email, First Name, and Last Name will auto-match if your column names are similar.

If a column doesn’t auto-match, simply choose the correct field from the dropdown.

Review the Import Preview

Before importing, you’ll see a list of all rows being added.

At this stage, you can:

  • Review all clients and contacts being imported.

  • See which clients already exist in Ping.

  • Leave existing clients unchecked to avoid duplicates.

  • Manually select an existing client if you intentionally want a duplicate.

  • Remove any rows you don’t want to import.

This gives you full control before anything is added.

Complete the Import

Once everything looks correct:

Follow these steps:

  1. Click Next.

  2. Confirm the clients you want to import.

  3. Click Import.

Ping will process the file and load your new clients. After the import finishes, you’ll see the newly added clients listed on the Clients page.

What Happens After Importing

Each imported client will:

  • Be created as a company in Ping.

  • Include any associated contacts from your file.

  • Begin building client memory as emails and meetings occur.

This client memory helps Ping generate more accurate drafts, answers, and workflows over time.

Tips for Best Results

For the smoothest import experience:

  • Make sure each client has a client name.

  • Include contact email addresses whenever possible.

  • Use clear column headers like First Name, Last Name, and Contact Email.

  • Review the preview carefully before clicking import.
