Who Can See Your Meetings?
Ping controls meeting access based on your role and who attended the meeting. This guide explains when your meetings are visible to others and how to share them.
Your Role Matters
Organization Owners can see meetings from managers and team members, but not from other owners (unless shared).
Managers can see meetings from their direct team members, but not from other managers or owners.
Team Members can only see their own meetings and those shared with them.

When Others See Your Meetings
If you're a team member and have a meeting:
Your manager can see it
Organization owners can see it
Other team members cannot see it (unless shared)
If you're a manager and have a meeting:
Organization owners can see it
Other managers cannot see it
Your team members cannot see it (unless shared or participant)
If you're an owner and have a meeting:
Other owners cannot see it automatically
Managers and team members cannot see it (unless shared or participant)
Exception: If a manager or team member attended, all owners can see it due to downward hierarchical visibility
Sharing Options
Share with Specific People
Go to the meeting's Sharing tab and add individuals. They'll get their own copy of the meeting.
Share with Your Entire Organization
Toggle "Share with entire organization" in the Sharing tab. Everyone in your org can then view the meeting.
Remove Access
You can remove individually shared access at any time. Organization-wide sharing can also be toggled off.
Privacy Note: You cannot see meetings from people at your same level unless they explicitly share them or you were a participant.
Common Questions
Why can't I see another owner's meeting?
For privacy, owners can only see each other's meetings if explicitly shared or if the meeting included a manager or team member.
Can I share a meeting I wasn't in?
No. Only meeting participants can manage sharing settings.
What if someone leaves the company?
Their meetings remain in the system, but they lose automatic access to other meetings.
How do I know who has access?
Check the Sharing tab to see participants, individually shared users, and who has role-based access.
