QUO (OpenPhone) Integration Overview

The QUO integration connects your OpenPhone calls to Ping. When call recording and transcription are enabled in OpenPhone, Ping automatically turns those calls into meetings complete with transcripts, AI summaries, and action items. This gives you the same powerful meeting intelligence for phone conversations that you already get for video meetings.

What You Get

Once connected and recording is enabled in OpenPhone, Ping will automatically process your recorded and transcribed phone calls. Each call appears in Ping as a meeting and includes:

  • AI-generated transcript of the full conversation

  • Meeting summary with key discussion points

  • Action items pulled from the call

  • Call recording stored and accessible in Ping

  • Direct link to the call details in Ping

Phone calls are treated just like any other meeting in Ping. You can search them, review notes, sync action items to your CRM, and share recaps with your team.

How to Connect (Only a QUO admin can connect)

You will need your OpenPhone API key before getting started. To find it, log in to your OpenPhone account, go to Settings, and then click API. Copy your API key. Only one person in a Ping org (an org owner or provisioner) needs to connect to QUO, and then it will be active for the whole organization.

Then follow these steps in Ping:

  1. In Ping, go to Settings and click Integrations.

  2. Find the QUO card and click Connect.

  3. Paste your OpenPhone API key into the input field.

  4. Click Submit. Ping will validate your API key and set up the connection.

  5. The QUO card will now show as Connected.

Once connected, Ping will automatically begin receiving your recorded and transcribed calls.

Enable Call Recording and Transcription in OpenPhone (only Admins can enable these settings)

For Ping to process your phone calls, both call recording and transcription must be turned on in OpenPhone. Without these enabled, Ping will not receive call data.

Follow these steps in OpenPhone:

  1. Log in to your OpenPhone account.

  2. Go to Settings and then Phone Numbers.

  3. Enable Auto-record Calls so every call is captured.

  4. Then scroll down and enable Transcribe and summarize calls

  5. Make sure Call Transcription is also enabled so Ping receives the full transcript.

  6. Save your changes.

Once recording and transcription are enabled, all future calls will be automatically sent to Ping for processing.

How Calls Are Processed

After a call ends and OpenPhone finishes transcribing it, Ping receives the call data automatically. Here is what happens:

  1. OpenPhone sends the completed transcript to Ping.

  2. Ping downloads the call recording and transcript.

  3. A new meeting is created in Ping with the call details.

  4. Ping runs AI processing to generate a summary and extract action items.

  5. If the caller's phone number matches an existing contact in Ping, the call is automatically linked to that contact and their client.

Short calls under 30 seconds are automatically skipped.

Linking Phone Numbers to Contacts

When a phone call comes into Ping, the caller may appear as just a phone number. You can link that phone number to an existing contact so that future calls from the same number are automatically associated with the right person and client.

Follow these steps:

  1. Open a phone call meeting in Ping.

  2. Click on the phone number shown in the participants section.

  3. A dialog will appear giving you two options:

Link to an existing contact:

  • Search for the contact by name, email, or phone number.

  • Select the correct contact and confirm.

Create a new contact:

  • Click Create New Contact.

  • Enter the contact's email address (required), and optionally their name.

  • The phone number will be filled in automatically.

  • Click Save to create the contact and link the number.

Once a phone number is linked to a contact, all past and future calls from that number will be associated with that contact and their client. This means call summaries, transcripts, and action items will appear in the right client context automatically.

How to Disconnect

Follow these steps:

  1. Go to Settings and click Integrations.

  2. Find the QUO card and click Disconnect.

Once disconnected, Ping will stop receiving new calls from OpenPhone. Your existing call data in Ping is not affected. You can reconnect at any time by entering a new API key.

Good to Know

Recording and transcription must be enabled.

Ping can only process calls that have both a recording and a completed transcript in OpenPhone. If these are not turned on, Ping will not receive those calls. These can only be enabled on the QUO Business and Scale plans.

Phone calls become full meetings.

Recorded calls are processed the same way as video meetings. You get transcripts, summaries, action items, and the ability to sync data to your CRM integrations like HubSpot.

Link phone numbers once.

After you link a phone number to a contact, Ping remembers the association. Future calls from that same number will automatically be connected to the right contact and client.

Each phone number links to one contact.

A phone number can only be assigned to a single contact. If the number is already linked to someone else, Ping will let you know which contact it belongs to.

Short calls are skipped.

Calls under 30 seconds are not processed, as they are typically missed calls or accidental dials.

Available on paid plans.

The QUO integration is available to users on a paid Ping plan.

Troubleshooting

I connected but I am not seeing any calls.

Make sure both call recording and call transcription are enabled in your OpenPhone account. Ping only processes calls that have a completed transcript. Check the Enable Call Recording and Transcription section above for instructions.

A call is showing a phone number instead of a contact name.

This means the phone number has not been linked to a contact yet. Open the call in Ping and click the phone number to link it. See the Linking Phone Numbers to Contacts section above.

I linked the wrong contact to a phone number.

Open a call from that phone number in Ping and click the phone number again. You can update the linked contact from there.

My calls are taking a while to appear.

After a call ends, OpenPhone needs time to generate the transcript. Once the transcript is complete, Ping will process the call. This can take a few minutes. If a call has not appeared after 15 minutes, check that your QUO connection is still active in Settings and Integrations.

My API key is not working.

Make sure you are copying the API key from OpenPhone Settings and API. The key must be from the same OpenPhone account you want to connect. If the key was recently regenerated, the old key will no longer work.
