Client intelligence is what separates Ping from traditional note-taking tools. Ping builds a living client memory that understands your clients over time, so AI features can respond with real context instead of isolated notes.

Client intelligence is Ping’s ability to collect and organize everything you’ve shared with a client into one place. This includes:
Meetings
Email conversations
Associated contacts
Historical context across all interactions
Instead of relying on a single note or email, Ping builds an ongoing timeline that reflects your full relationship with each client.
How the Client Timeline Works
When you open a client from the Clients page, you’ll see a timeline showing all communication with that client over time.
This timeline automatically pulls in:
All meetings you’ve had with the client
All email conversations with linked contacts
Each interaction becomes part of the client’s long-term memory.
Why This Matters for AI Features
When you:
Ask Ping a question
Start a workflow
Draft an email
Use any AI-powered feature
Ping pulls from the entire client memory, not just one meeting or one email. This allows Ping to:

How Contacts Power Client Memory
Client intelligence depends on contacts being linked to clients.
Here’s how it works:
Each client can have one or more contacts
Any email or meeting with those contacts is automatically added to the client’s timeline
The more complete your contact list is, the smarter the client memory becomes
For example:
If a client has three contacts, any communication with any of them feeds into the same client memory
If a client has only one contact, only communication with that person will appear
Adding and Managing Contacts
You can add or link contacts in several places.
Follow these steps:
Open a client from the Clients page.
Use the Add Contact option to create a new contact or link an existing one.
Repeat for every person associated with that client.
You can also:
Link contacts when creating a new client
Add contacts directly from the main Clients page
Link existing contacts instead of creating duplicates
Getting Clients Into Ping
You can create clients and contacts in multiple ways, including:
Manually creating them in Ping
Importing them in bulk
Syncing clients from your practice management tools using integrations
No matter how you add them, the key is making sure your clients have the correct contacts linked.
