Welcome to Ping Assistant! These Terms of Service ("Terms") govern your access to and use of Ping Assistant's products, services, software, and website (collectively, the "Service"). By using our Service, you agree to be bound by these Terms and our Privacy Policy.If you do not agree to these Terms, please do not use the Service.

1. What Data We Collect

We only collect data that's necessary to deliver our services—and never sell your information.

2. How We Use Your Data

We use your data to provide value—never to profile, sell, or cross-train models.

  • Generate AI-powered personalized summaries and notes

  • Support productivity workflows

  • Improve your experience with personalized insights

  • Resolve technical issues and support requests

  • Secure our systems and monitor for abuse

We do not use your data to build marketing profiles or target ads.

3. Who Has Access to Your Data

We limit access, use audit trails, and follow strict internal policies.

  • You always control your data

  • Ping employees may access data only when required for support or system troubleshooting.

  • Service providers (like our cloud hosting, transcription, and analytics vendors) may process data under contract and with strict confidentiality.

We never sell your data or share it with advertisers.

4. AI-Specific Practices

We do not train generalized models on your data—period.

  • Your meeting data is used only for you

  • No audio, transcript, or email/calendar content is used to train shared AI models

  • We never use Google Workspace or Microsoft 365 user data to build, tune, or refine AI outside your account

  • Our AI helps you summarize and understand your own data—nothing more

  • Where human review is used (e.g. for QA or support), it is rare, minimal, and access-controlled

5. Data Retention & Deletion

Meeting summaries, transcripts, and notes are stored until you delete them or close your account

  • You can delete individual meetings or your full history at any time

  • If you revoke integration access (e.g. Google/Zoom), we immediately stop syncing and disconnect your account

  • Upon account deletion, we erase your data from our systems (unless we are legally required to retain it for a limited time)

6. Secure Document Storage

We understand that the documents you may decide to upload to our platform may include personally identifiable information (PII) - it is our commitment to you that these documents are stored securely with strict access requirements scoped only to the uploading user.

  • The long-term source storage of these documents is secured with encryption in-transit and at rest with industry standard encryption practices. (AES-256)

  • None of the sensitive data in these documents is used to train general foundational Large Language Models

7. Data Security Measures

We follow best practices for data protection at every layer:

  • Encryption in transit and at rest using modern standards for all source documents, PII and or other personal communications data.

  • OAuth authentication (we never store your login credentials)

We work hard to make sure only the right people access the right data, at the right time—for the right reasons.

8. Your Rights & Choices

You have full control over your data. Under the CCPA/CPRA, FTC Act, and global privacy norms, you have the right to:

  • Access: Request a copy of your data

  • Delete: Permanently remove your data

  • Correct: Update your information

  • Limit: Restrict how we use your data

  • Withdraw Access: Revoke permissions (e.g. disconnect Google Calendar or Zoom)

  • Opt Out: Request not to be tracked or profiled (we don't do this anyway)

You can manage most settings in your account. For anything else, just email us.

9. Compliance with FTC and CCPA/CPRA

We follow:

  • FTC Act: No deceptive practices, no unfair surprise use of your data, and clear disclosures about how Ping works

  • California Privacy Rights (CCPA/CPRA): You can access, delete, or restrict your data at any time, and we won't discriminate against you for doing so

  • Data minimization: We only collect what we need and use it only for the purpose you agreed to

  • Purpose limitation: We don't re-purpose or share your data without your consent

If you're a global customer, we also align with key GDPR principles—like data control, purpose limitation, and transparency—even if the law doesn't strictly apply to you.

10. Third-Party Services

Ping Assistant connects with services like Google Calendar, Microsoft Outlook, and Zoom via APIs. We use these integrations to access your meetings and calendar data—with your permission.

We do not control how those third-party services handle your data. Please review their privacy policies for more information.

11. Children's Privacy

Ping Assistant is not designed for children. We do not knowingly collect data from users under 18. If you believe a child has used our service, contact us and we will delete the data.

12. Updates to This Policy

We may update these Terms from time to time. We will notify you of material changes by posting an updated version and revising the "Last Updated" date. Continued use of the Service after changes constitutes acceptance.

13. Governing Law

These Terms are governed by the laws of the State of Delaware, without regard to conflict of law principles. Any disputes shall be resolved in the courts of Delaware.
