What is the Email Signature feature?

Ping uses your saved Email Signature when it creates drafts in your connected email client. The signature is applied from your Ping settings; the AI does not rewrite it or improvise a different sign-off.

How signatures work in drafts

Your saved signature is appended to any email Ping sets as a draft in Gmail or Outlook. This includes Email Assistant reply drafts and drafts you move from Ask Ping into your email client.

Chat draft cards in Ping show the email body only. They do not show your sign-off or signature. When you create the draft in Gmail or Outlook, Ping adds the saved signature to the end of the email.

Email Assistant drafts use the saved signature exactly as configured in Ping. If you update your signature in Ping, future drafts use the updated version.

If your saved signature is empty, Ping will not append a signature.

Where to find it

  1. Go to Settings in Ping
  2. Open the General tab
  3. Scroll to Email Signature

The signature editor has two modes: Text and HTML.

Text mode

Use Text mode for simple signatures like your name, title, phone number, and firm name.

You can type directly in the editor and use the formatting toolbar for basic styling like bold, italic, links, and spacing.

HTML mode

Use HTML mode for richer signatures with:

  • Company logos or headshots
  • Styled links or buttons
  • Multi-column layouts
  • Custom colors, fonts, and spacing

To use HTML mode, switch to the HTML tab in the signature editor, paste your HTML signature, review the preview, and save.

Ping saves the signature content you provide. Gmail and Outlook can still render HTML slightly differently, especially for images, buttons, and spacing.

How signatures interact with tone

Your signature is separate from Drafting Preferences, Custom Tone, and Generate My Tone.

Ping uses drafting preferences to write the body of the email. It then applies your saved signature as the final sign-off when the draft is created in your email client.

This means:

  • Tone settings do not rewrite your signature
  • Generate My Tone does not create a new signature
  • Ask Ping draft cards may look unfinished because they intentionally stop before the signature
  • The final Gmail or Outlook draft includes the saved signature

Important tips for HTML signatures

If you use a rich HTML signature with buttons or images, keep these tips in mind for the best results across email clients:

  • Use inline styles because email clients often strip style tags and external CSS
  • Keep images hosted externally and use https URLs
  • Set explicit widths on outer tables so the signature does not stretch
  • Use table-based layouts for buttons, especially if recipients use Outlook
  • Send a test email to yourself before relying on a new HTML signature

Outlook uses Microsoft Word to render many email drafts, so complex HTML can look slightly different in Outlook than it does in the Ping preview.

Troubleshooting

My signature does not show in the chat draft

That is expected. Chat draft cards show the body only. Create the Gmail or Outlook draft from Ping to see the saved signature appended in your email client.

My signature does not appear in Gmail or Outlook

Check Settings > General > Email Signature and make sure the signature has saved content. An empty signature will not be appended.

My HTML signature looks different in my email client

Email clients apply their own rendering rules. Ping uses the saved signature content, but Gmail and Outlook may display HTML differently from the Ping preview. For best results, use inline styles, externally hosted images, and table-based layouts for buttons.

Buttons are too large or have extra borders in Outlook

This can happen when Outlook re-processes HTML. Table-based buttons usually survive Outlook editing better than link-only buttons.
