Some Microsoft 365 organizations require an administrator to approve Ping before users can connect their Outlook calendars. Share this guide with your Microsoft Entra administrator if Microsoft shows “Need admin approval.”
What to send your administrator
I am trying to connect my Microsoft work calendar to Ping for meeting sync and notetakers. Microsoft is asking for administrator approval. Please review Ping’s calendar app, application ID 981a7dd3-29dd-42d8-b503-47f246f74c99, using the steps below.
Include the affected Microsoft email address and a screenshot of the approval screen.
Identify the calendar app
- Application: Ping Assistant, for Microsoft calendar integration
- Application (client) ID:
981a7dd3-29dd-42d8-b503-47f246f74c99
Verify the application ID when selecting the app. Your organization may have renamed its display name.
Calendar and email use separate Microsoft apps. Approval of the Ping email app does not approve the calendar app.
Fast approval link
An authorized Microsoft administrator can open:
Approve Ping Calendar in Microsoft Entra
Sign in to the Microsoft tenant used by the affected employees. Review the app and requested permissions, then accept if they match your organization’s approval requirements.
After approval, each user must return to Ping and complete their own calendar connection.
Manual approval in Microsoft Entra
- Sign in to the Microsoft Entra admin center as a Cloud Application Administrator or Application Administrator authorized to grant consent.
- Go to Entra ID → Enterprise apps → All applications.
- Find Ping Assistant and confirm its application ID matches the calendar app ID above.
- Open Security → Permissions.
- Review the permissions and select Grant admin consent for your organization.
- Complete Microsoft’s consent prompt.
- Ask the affected user to return to Ping and connect their calendar.
If the app is missing, use the fast approval link above. Microsoft’s Enterprise apps approval path requires the application to exist in your tenant. See Microsoft’s admin consent instructions.
Permissions for calendar sync
Ping’s standard Microsoft calendar connection requests:
The standard calendar sync flow requests read access. Scheduling a notetaker uses the meeting details; it does not require writing a calendar event.
The fast approval link uses the app’s registered permissions. Review the complete consent screen. If it requests permissions beyond those listed here, contact Ping support to confirm their purpose.
Complete the user’s connection
- Open Settings → Integrations in Ping.
- Under Calendar Integrations, select Microsoft Calendar and choose Connect, or use the reconnect action shown.
- Sign in with the Microsoft account whose calendar should connect.
- Complete the Microsoft authorization flow.
- Confirm the calendar shows Connected and check that an upcoming meeting appears in Ping.
Administrator consent allows users to authorize the app. Each user still connects their own calendar; approval alone does not connect every employee’s calendar.
If the connection is still blocked
- Approval is still required: Confirm the calendar application ID and tenant match the user’s request. Retry the connection in a new browser window after a short wait.
- Microsoft requires assignment: Have your administrator check the app’s assignment settings and assign the affected user or group when required.
- Calendar shows Reconnect Required: Complete the calendar connection again with the intended Microsoft account.
- Connected, but meetings are missing: Contact Ping support with an example meeting’s date, time, and time zone.
Email [email protected] with the affected Microsoft email address, approval-screen screenshot, and any Microsoft error code.
