Ping uses Drafting Preferences to shape email drafts it creates for you. These preferences apply to future drafts from BOTH Ask Ping AND the in-inbox Email Assistant.
Signatures are managed separately in Settings > General > Email Signature. For signature behavior, see the How to Set Up Your Email Signature help article.
Where to change drafting preferences
- Go to Settings in Ping
- Open the General tab
- Scroll to Drafting Preferences
From there you can choose a preset Style, edit Custom Tone, and use Generate My Tone.
Style
Style is a simple default for future drafts:
- Professional keeps drafts polished and direct
- Friendly keeps drafts warm while still work-appropriate
- Casual keeps drafts more relaxed and conversational
Style is a starting point. Ping still uses the facts from your meeting, email, or client context first.
Custom Tone
Custom Tone is where you can add durable writing instructions for future drafts.
Good Custom Tone instructions are specific and reusable, for example:
- Keep emails concise and avoid long intros
- Sound warm but not overly enthusiastic
- Use plain language and avoid jargon
- Prefer short paragraphs
- Do not use exclamation points
Custom Tone is saved in Drafting Preferences. Ask Ping can revise the draft you are currently working on, but it cannot save or update Custom Tone from chat.
Generate My Tone
Generate My Tone analyzes your sent emails and creates a custom tone profile for future drafting.
It looks for writing patterns such as:
- How formal or casual your emails usually are
- How you open and close emails
- How direct or detailed you tend to be
- Common phrasing, structure, and sentence length
- Differences in how you write to clients, peers, or executives when there is enough evidence
Generate My Tone uses your sent-email examples to produce guidance for future drafts. It does not send emails, change existing drafts, or replace your review before sending.
What Ask Ping can and cannot change
Ask Ping can revise the current draft in chat. For example, you can ask it to make the current draft warmer, shorter, more formal, or more direct.
Ask Ping cannot save long-term tone, Style, Custom Tone, or Generate My Tone preferences from chat. To change future drafts, update Settings > General > Drafting Preferences.
If you want both:
- Ask Ping to revise the current draft
- Update Drafting Preferences so future drafts use that style by default
