Ping can automatically sync meeting notes to your clients in Double after every meeting. This guide covers how to enable auto-sync, configure which Double clients receive notes, and how the matching works.

Before You Start

To use meeting note sync, make sure:

  • Your Double integration is connected in Ping Settings.
  • You have owner permissions in Ping to enable auto-sync.

Step 1: Enable Auto-Sync

Auto-sync is an organization-wide setting that must be turned on by an owner.

  1. Go to Settings in Ping.
  2. Find the Auto-sync to Practice Management toggle.
  3. Turn it on.

Once enabled, Ping will automatically push meeting notes to Double (and any other connected practice management tools) after each meeting is processed.

Step 2: Configure Per-Client Note Routing (Optional)

By default, Ping matches meeting notes to Double clients by looking at the participant emails from the meeting. If you want more control, you can explicitly configure which Double client(s) a Ping client's notes should sync to.

  1. Open a client in Ping.
  2. Go to the Integrations tab on the client detail page.
  3. Find the Double integration card.
  4. Click Set up notes auto-sync.
  5. Select the Double client(s) that should receive meeting notes for this Ping client.
  6. Confirm your selection.

Once configured, any meeting involving this client's contacts will sync notes directly to the specified Double client(s) instead of relying on auto-matching.

To change or remove the configuration later, use the Change Note Sync or Remove Note Sync buttons on the same integration card.

How Client Matching Works

When a meeting finishes processing, Ping determines where to send notes using this logic:

  1. Per-client config first — If the Ping client has a specific Double client configured (as described in Step 2), notes go directly there.
  2. Auto-match fallback — If no per-client config exists, Ping matches meeting participant emails against Double clients automatically.

This two-tier approach means you can let most clients auto-match while explicitly routing notes for clients that need special handling.

What Gets Synced

Each meeting note synced to Double includes:

  • Meeting date, time, and participants
  • Meeting analysis — a categorized breakdown of discussion topics
  • Meeting insights — a narrative summary of key points
  • A link back to the full meeting in Ping

Meeting notes appear as digital notes on the client in Double.

Important Notes

  • Auto-sync only sends meeting notes, not action items. To sync action items, see the related article below.
  • The auto-sync toggle applies to all connected practice management tools, not just Double.
  • Only owners can enable the org-level auto-sync toggle and configure per-client note routing.
  • Notes sync automatically after meeting processing completes — no manual action required.
