Teamwork Integration Overview

The Teamwork integration lets you sync your meeting notes, action items, and clients between Ping and Teamwork. This keeps your project management up to date with everything discussed in meetings, without switching between tools.

With this integration you can:

  • Sync meeting summaries to Teamwork as notebooks
  • Sync action items to Teamwork as tasks
  • Import clients and contacts from Teamwork into Ping

Connect Teamwork to Ping

You'll need a Teamwork account with access to the workspace you want to connect.

Follow these steps:

  1. In Ping, go to Settings.
  2. Click the Integrations tab.
  3. Find the Teamwork card in your Integrations list and click Connect.
  4. You'll be redirected to Teamwork to log in and authorize the connection.
  5. Grant the required permissions when prompted.
  6. You'll be redirected back to Ping, where Teamwork will now show as connected.

Once connected, you can start syncing meeting notes, action items, and importing clients.

Sync Meeting Notes to Teamwork

After connecting Teamwork, you can sync meeting summaries as notebooks in a Teamwork project.

Follow these steps:

  1. Open a meeting in Ping.
  2. Review your meeting summary in the center panel.
  3. Click Sync to Teamwork.
  4. A project selection modal will appear. Ping automatically highlights projects that match the meeting participants, labeled In meeting.
  5. Select the project you want to sync the notes to.
  6. Click Sync to confirm.

The meeting summary will be created as a notebook inside the selected Teamwork project. Each notebook includes a "Source: Ping Assistant" footer so your team knows where it came from.

Sync Action Items to Teamwork

Action items from your meetings can be synced to Teamwork as tasks, either one at a time or in bulk.

Follow these steps:

  1. Open a meeting in Ping.
  2. Review the action items on the right side of the meeting view.
  3. Click Sync to Teamwork on an individual action item, or select multiple items and use bulk sync.
  4. Select the project where you want the tasks created.
  5. Select the task list within that project.
  6. Click Sync to confirm.

Each action item becomes a task in Teamwork with:

  • The action item title as the task name
  • The assignee and meeting title in the task description
  • The due date carried over from Ping

Once synced, the action item in Ping will show a sync status indicator so you know it has been sent to Teamwork.

Import Clients from Teamwork

You can import your existing clients and contacts from Teamwork into Ping to get set up quickly.

Follow these steps:

  1. Go to the Clients page in Ping.
  2. Click Import and select Teamwork.
  3. Ping will show a preview of what will be imported, including:
  • New clients that will be created in Ping
  • Matched clients that already exist in Ping and will be linked
  • Already synced clients that were previously imported
  • A summary of contacts to be imported
  1. Review the preview and optionally filter which companies to import.
  2. Optionally choose client assignments for imported clients.
  3. Click Import to confirm.

Ping intelligently matches Teamwork companies to existing Ping clients by company name and shared contact emails, so you won't end up with duplicates.

Where Data Appears in Teamwork

Once synced:

  • Meeting notes appear as notebooks inside the selected Teamwork project.
  • Action items appear as tasks in the selected task list within a project.

Frequently Asked Questions

Who can connect the Teamwork integration?

Only organization owners and provisioners can connect or disconnect the Teamwork integration in Settings.

Do meetings sync automatically?

No. Syncing meeting notes and action items is manual, so you stay in control of what gets sent to Teamwork.

Can I sync action items in bulk?

Yes. Select multiple action items from a meeting and use the bulk sync option to send them all to the same Teamwork project and task list at once.

How does Ping match projects to meetings?

When you sync, Ping looks at the meeting participants and matches them to contacts linked to your Ping clients. If those clients are associated with Teamwork companies, the relevant projects are highlighted in the project selection modal.

Can I import clients more than once?

Yes. If you add new companies in Teamwork, you can run the import again. Ping will only import new companies and skip ones that are already synced.

What happens if I disconnect Teamwork?

Previously synced data remains in both Ping and Teamwork. You simply won't be able to sync new items until you reconnect.
