Availability may depend on your Ping plan or beta access.

Ping Meeting Scheduler lets people book time with your firm without a separate scheduling product. Connect a calendar first, then create a personal or firm booking link.

This product is in its final stages of beta. To try it, contact [email protected].

Before you start

You need a Google Calendar or Microsoft Outlook calendar connected to Ping. Choose a writable calendar for new bookings.

If Ping cannot write to a calendar, people may still submit bookings. Ping cannot add those bookings to your calendar or reliably prevent conflicts.

Firm owners and administrators can also configure organization-wide booking links and branding.

Open Meeting Scheduler

  1. Open Meetings.
  2. Select Scheduler.
  3. Complete the setup checklist:
  4. Connect a calendar.
  5. Create your firm booking link, if you manage firm settings.
  6. Create your personal booking link.

You can skip the checklist. Ping continues to show a warning until a writable calendar is connected.

Create a meeting link

  1. Open Meeting Links.
  2. Select the type of link you need, personal or firm.
  3. Enter the meeting name, URL slug, description, duration, and location.
  4. Save the link.

Available meeting locations can include Google Meet, Microsoft Teams, Zoom, phone, or another location configured for the link. Google Meet requires a Google calendar. Microsoft Teams requires a Microsoft calendar. Zoom uses its own connection.

Set availability

Open Personal Settings to define when people can book you.

You can:

  • Create one or more weekly availability schedules.
  • Set different hours for different days.
  • Add date-specific overrides for holidays, travel, or special availability.
  • Choose which connected calendars Ping checks for conflicts.
  • Choose the calendar that receives new bookings.

Control how people book

Each meeting link can define its own booking rules, including:

  • Minimum notice and future booking window.
  • Time before and after a meeting.
  • Booking limits by day, week, or month.
  • Whether double booking is allowed.
  • Questions on the booking form.
  • Whether a booking requires approval.
  • Email verification for the person booking.
  • Additional guests and instructions.

When approval is required, the request appears in Bookings. Approve or decline it before treating the meeting as confirmed.

Share a booking link

Copy the public link and send it by email, add it to a signature, or place it on your website.

Firm administrators can open Organization Settings to configure:

  • The firm booking-page URL.
  • Brand color and theme.
  • Introductory text.
  • A live preview.
  • An embed snippet for a website.

Manage bookings

Open Bookings to review upcoming meetings and booking requests. Requests that require approval include controls to approve or decline them.

If a booking does not appear on your calendar, confirm the destination calendar is connected and writable.
