What Are Meeting Tags?
Meeting tags help you classify and organize your meetings in Ping. Every meeting can have tags that describe what type of meeting it was—whether it's a client call, an internal team sync, or something specific to your firm like a tax review or onboarding session.
There are two kinds of tags in Ping:
- System Tags — Built-in tags that Ping assigns automatically
- Custom Tags — Tags your firm creates for your own classification needs
Why Use Tags?
- Organization: Quickly filter and find specific types of meetings.
- Automatic: Ping intelligently classifies meetings for you.
- Customizable: Create tags that match how your firm works.
- Better Summaries: System tags influence how Ping generates meeting summaries and action items.
System Tags
System tags are built into Ping and available to every organization. Ping automatically assigns one system tag to each meeting based on who attended.
The system tags are:
- Client: At least one participant is a known client contact
- Internal: All participants are members of your Ping organization or share the same email domain
Each meeting can have only one system tag at a time.
How System Tags Are Auto-Assigned
When a meeting is recorded, Ping looks at the participant list and automatically determines the system tag:
- Are all participants members of your organization or share the same domain? → Tagged as Internal
- Does any external participant match a contact linked to one of your clients? → Tagged as Client
- Otherwise → No system tag is assigned (you can set one manually)
Ping matches participants by email address (case-insensitive) and phone number, so as long as your client contacts are up to date, the classification is accurate.
Tip: Keep your client contact information up to date in Ping. The more complete your contact data, the more accurately Ping can auto-classify your meetings.
Changing a System Tag
If you’d like to adjust the auto assigned tag, you can change it manually:
- Open the meeting detail page.
- Find the tag section near the top of the page.
- Click to open the tag selector.
- Choose the correct system tag.
- Confirm the change — Ping will ask you to confirm because changing a system tag triggers the meeting summary to be reprocessed.
Why does it reprocess? System tags influence how Ping generates summaries. A "Client" meeting summary focuses on client needs and financials, while an "Internal" summary focuses on team decisions and assignments. Changing the tag ensures the summary matches the meeting context.
Note: Reprocessing only happens for meetings that have a recording or transcript. Future meetings and meetings without content skip reprocessing.
Custom Tags
Custom tags are tags your firm creates for your own specific needs. Unlike system tags, you can add multiple custom tags to a single meeting.
Examples of custom tags your firm might create:
- Tax Review
- Advisory
- Quarterly Check-in
- Urgent Follow-up
- New Business
Creating Custom Tags
Only organization owners can create and manage custom tags.
- Go to Settings.
- Find the Meeting Tags section.
- Click Add Tag.
- Enter a name for your tag.
- Optionally choose a color to help visually distinguish it.
- Click Save.
Adding Custom Tags to Meetings
- Open the meeting detail page.
- Find the tag section.
- Click to open the tag selector.
- Check the boxes next to any custom tags you want to apply.
- Tags are saved automatically as you select them.
Bulk Updating Custom Tags
You can add or remove custom tags across multiple meetings at once:
- Go to the Meetings page.
- Select the meetings you want to update using the checkboxes.
- Use the bulk action menu to add or remove custom tags.
- All selected meetings will be updated.
Note: System tags must be changed individually on each meeting's detail page, since changing a system tag triggers summary reprocessing.
Editing or Deleting Custom Tags
- Go to Settings > Meeting Tags.
- Click on a tag to edit its name or color.
- Click Delete to remove a tag entirely.
Important: Deleting a custom tag removes it from all meetings it was applied to. This cannot be undone.
Note: System tags cannot be edited or deleted.
Filtering Meetings by Tag
Tags make it easy to find specific meetings:
- Go to the Meetings page.
- Use the filter options at the top of the list.
- Select one or more system tags or custom tags to filter by.
- The list updates to show only meetings matching your selected tags.
You can combine system tag and custom tag filters. For example, filter for all "Client" meetings tagged with "Tax Review" to quickly find client tax review meetings.
How Tags Appear
Tags are displayed as colored badges throughout Ping:
- System tags appear as colorless badges
- Custom tags appear as filled badges with your chosen color
- In the meetings list, up to 3 tags are shown inline. If a meeting has more, you'll see a +N more indicator.
