Ping separates staff leadership, client assignments, client ownership, organization administration, and seat features. Each controls a different part of access.

How access fits together

  • Leaders oversee staff in their Org Units and nested units, and receive service-line Revenue scope.
  • Client Assignments control ordinary client access when the setting is on.
  • Client Owner is a separate checkbox on an assignment. It provides owned-client health stats and revenue opportunities when those features and access are available.
  • Firm and Revenue access let Provisioners revoke or restore those tabs for eligible members.
  • Provisioner controls organization configuration.
  • Seat type controls personal product features.

A regular User can be a Leader, a Client Owner, a Provisioner, or a combination. Leadership does not automatically grant access to staff members' clients, meetings, or emails.

Organization roles

Owner

Owners can import clients and manage Client Assignments.

In organizations without Org Units, the Owner role also has broad visibility into organization clients and non-Owner meetings. Other Owners' private meetings remain private unless shared or attended by a non-Owner member.

When Org Units are enabled, the Owner role does not automatically create staff leadership scope. Add the Owner under Leaders for the units they need to oversee.

Organization Owner and Client Owner are different. Organization Owners retain organization-wide Revenue scope unless Revenue access is revoked. Client health follows the clients explicitly marked as owned, even for an Organization Owner.

An Owner must also be a Provisioner to manage billing, integrations, and other Provisioner-only settings.

Manager (legacy)

The legacy Manager role is being phased out. Direct Client Assignments now control client visibility, so the Manager role should not be used to grant client access.

Use Leaders for staff oversight, direct Client Assignments for client work, and Client Owner for client health responsibility. The legacy Manager role does not replace these relationships. Your organization can review existing assignments and ownership as it moves away from that role.

The Manager role may still appear in some organization settings while this transition is completed.

User

Users have standard organization membership.

When Client Assignments are on, Users see clients assigned directly to them. When Client Assignments are off, every organization User can see every organization client.

Users see their own meetings and content available through participation, sharing, and their own client access. A User can also become a Leader or Client Owner without changing their organization role.

Client Assignments

Client Assignments connect clients directly to people.

  • On: Staff members see their assigned clients. New clients require at least one assignment.
  • Off: Every organization User can see every organization client. Assignments stay saved but do not limit access.

Owners and Provisioners can manage assignments. Client access does not come from the legacy Manager role.

Client Owner

Assign a person to a client, then check Client Owner if they should oversee that client's health stats and revenue opportunities. Multiple people can own the same client.

Leaving Client Owner unchecked keeps the ordinary assignment. Unchecking it removes ownership but keeps the person assigned; removing the assignment also removes ownership.

Client Owner does not automatically make someone a Leader or Provisioner. Firm and Revenue feature availability and access restrictions still apply.

Org Units

Org Units model your staff structure. Units can be nested by department, office, service line, partner group, or another structure.

A unit can have multiple Leaders, and a person can lead multiple units. Leaders receive staff reporting scope for those units and nested units. Revenue opportunity scope follows services assigned to those units.

A staff member's client assignment does not extend client, meeting, or email access to their Leader. The Leader needs their own applicable client access or another valid sharing or participation path.

Org Units are optional and independent from Client Assignments.

Provisioner access

Provisioner is a separate designation that grants organization configuration access.

Provisioners can manage:

  • Billing, plans, seats, invoices, and payment methods.
  • Organization-level integrations.
  • Organization settings and member administration.
  • Client Assignments and Client Owner responsibilities.
  • Org Unit setup and Leaders.
  • Firm and Revenue access for eligible members.
  • Meeting Assistant settings.
  • Assistant appearance.
  • Organization tags and templates.
  • Provisioner access for other members.

Provisioner access does not grant client or meeting visibility. A Provisioner's content access still follows their own client access, applicable role, meeting participation, sharing, and privacy rules.

Firm and Revenue checkboxes

In Settings → Organization → Members, Provisioners can manage Firm and Revenue access separately.

  • A checked box allows access supported by the member's current relationships or role.
  • Uncheck a box to revoke that tab without removing client assignments or ownership.
  • Check it again to restore access supported by the member's current relationships or role.
  • An ineligible member's checkbox is disabled. It cannot be used to grant unrestricted access.

Feature availability still depends on the organization's plan and enabled features. Client Owner can provide owned-client health access without granting staff reporting access.

Seat types

Full Seat

  • Can connect a personal calendar.
  • Can connect personal Gmail or Outlook.
  • Can use Email Assistant features available on the organization's plan.
  • Can use standard Ping features.

Lite Seat

  • Cannot connect personal calendar or email integrations.
  • Cannot use features that require those personal connections.
  • Can view content shared with them and use other available Ping features.
  • Can be a Provisioner, a Leader, or a Client Owner.

Common scenarios

I want everyone to see every client

Turn Client Assignments off. All organization clients become visible to all organization Users.

I want staff to see only their clients

Turn Client Assignments on and assign clients directly to each person.

I want a leader to review work for part of the organization

Enable Org Units and add the person under Leaders for the appropriate unit. Their organization role can remain User. Assign any clients they need to work with directly to them.

I want someone to oversee a client's health and opportunities

Assign the client to that person and check Client Owner. Confirm the relevant features are available and Firm or Revenue access has not been revoked.

I am a Provisioner but not an Owner

You can manage organization configuration and Client Assignments. Provisioner access alone does not widen the clients, meetings, or content you can see.

I am an Owner but not a Provisioner

You can manage Client Assignments and import clients. You still need Provisioner access for billing, integrations, and other organization configuration.
