Org Units mirror your firm's reporting structure inside Ping. A unit can have multiple Leaders and a set of members, and units can be nested inside other units.
Org Units are optional. Leadership controls staff oversight and service-line reporting. Client Assignments and Client Owner responsibilities are managed separately.
What an Org Unit is
An Org Unit is a group of staff with one or more Leaders. Units can represent departments, offices, service lines, partner groups, or any structure that matches how your firm works.
For example, Tax and Advisory can sit under the firm, with Client Accounting nested under Advisory.
Structure rules
- A person belongs to one Org Unit as a member.
- A unit can have more than one Leader.
- A person can lead more than one Org Unit.
- Units can be nested as deeply or as broadly as you need.
- Leadership scope includes the units a person leads and the units nested beneath them. It does not extend upward or to sibling units through leadership alone.
What Leaders can see
Leaders can review staff activity and reporting for the people in their units and nested units, when the relevant Firm features and access are available.
Leadership does not automatically give a person the clients, meetings, or emails of the staff they lead. To work with a client, the Leader needs their own client access. Opening a meeting or email also follows its sharing and privacy rules.
For example, Sarah works in Advisory and is assigned to Acme. The Advisory Leader can review Sarah's staff metrics. Sarah's assignment does not assign Acme to the Leader or make Sarah's meetings and emails visible to them.
Org Units and revenue services
An Org Unit can be assigned to a revenue service. That assignment identifies the group that delivers the service and is used for reporting on service performance.
When Revenue features and access are available, Leaders can see revenue opportunities for services assigned to the units they lead or units nested beneath them. Client Owners can also see opportunities for the clients they own. Organization Owners retain their organization-wide Revenue scope, subject to Revenue access restrictions.
Revenue visibility does not grant access to the underlying client workspace, meeting, or email.
Keep these assignments deliberate. Reassigning a unit changes which group a service is attributed to, so review service assignments whenever you restructure your units.
Org Units, Client Assignments, and Client Owner
The relationships serve different purposes:
- Leaders provide staff oversight and service-line reporting.
- Client Assignments give people access to the clients they work with.
- Client Owner is a checkbox on a client assignment. It adds responsibility for that client's health stats and revenue opportunities when those features and access are available.
A person can hold any combination of these responsibilities. An assigned person with Client Owner unchecked remains assigned to the client.
When Client Assignments are off, everyone in the organization can access client records. Turning the setting off does not make everyone a Client Owner or override content-sharing rules.
Turn on Org Units
- Open Settings.
- Select Organization.
- Open the Settings tab.
- Turn Org Units on.
Only provisioners can turn Org Units on or off.
Who manages Org Units
Provisioners configure Org Units independently of their own data access. They can:
- Turn Org Units on or off for the organization.
- Create units and choose their parent units.
- Select one or more people in Leaders.
- Move members between units.
- Assign units to revenue services.
In Settings → Organization → Org Units, select a unit to edit it. Use Leaders to select the people responsible for staff oversight.
Provisioner access alone does not grant client, meeting, email, or reporting access. A Provisioner's data access follows their own relationships, role where applicable, participation, sharing, and privacy rules.
To give someone staff oversight, add them as a Leader. To give them client access, assign the client to them. To give them client health responsibility, check Client Owner on that assignment. To let them configure the organization, grant Provisioner access.
