Client Assignments control client access by assigning clients directly to people.

Client Assignments and Org Units solve different problems:

  • Client Assignments control which clients each person can access.
  • Org Units organize staff and define staff and service-line leadership, reporting filters, and rollups.

You can use either setting, both settings, or neither.

Choose your client access model

Turn Client Assignments on

Use Client Assignments when staff should only see the clients they work with.

When Client Assignments are on:

  • Each client must be assigned to at least one person.
  • Staff members see clients assigned to them.
  • The Assignments column appears on the Clients page.
  • Owners and provisioners can manage assignments by client or by person.
  • Org Unit leadership does not expand ordinary client, meeting, or email access.

This setup works well when your organization separates client books by partner, department, location, or service team.

Turn Client Assignments off

Turn Client Assignments off when every staff member should be able to see every client in your organization.

When Client Assignments are off:

  • All organization clients are visible to all organization users.
  • New clients do not require an assignment.
  • Assignment controls are hidden because assignments do not limit access.
  • Existing assignments stay saved. If you turn Client Assignments back on, those assignments take effect again.

Client access and content sharing are separate. Turning Client Assignments off makes client records visible to everyone, but meeting and email content still follows your organization's sharing settings.

Change the Client Assignments setting

  1. Open Settings.
  2. Select Organization.
  3. Open the Settings tab.
  4. Turn Client Assignments on or off.

Owners and provisioners can change this setting.

When Client Assignments are on, you can manage assignments in either place:

  • Open Clients and use the Assignments column to assign people to a client.
  • Open Settings → Organization → Members and use the Clients column to manage one person's client list.

You can also select multiple clients or members to update assignments in bulk.

Client Owner

Client Owner is a separate checkbox on an existing direct client assignment. Leaving it unchecked keeps the person as an ordinary assignee. Checking it does not give the person extra client, meeting, or email access.

A Client Owner is eligible for Client Health and Revenue for that explicitly owned client when those features are available for your organization and the person's access to the relevant Firm or Revenue surface is allowed. Client Owner does not require Org Unit leadership, and several people can be Client Owners for one client.

What Org Units control

Org Units represent the way your staff is organized. Each unit can have one or more leaders. Units can be nested by department, office, service line, partner group, or another structure that fits your organization.

Use Org Units when you need:

  • A reporting structure inside Ping.
  • Leaders to review staff and service-line reporting for specific groups of staff.
  • Org Unit filters on supported dashboards and lists.
  • Scoped staff and service-line rollups without giving every leader organization-wide reporting visibility.

Org Units do not replace Client Assignments. When both settings are on, direct assignments control ordinary client access for assignment-based users. Org Unit leaders can oversee staff and service-line reporting, but leading staff does not grant access to their clients, meetings, or emails. Existing meeting participation, sharing, and privacy rules still apply.

When Client Assignments are off, Org Units can still support reporting, filters, and leadership scope while every user keeps access to every client.

What is happening to the Manager role?

The legacy Manager role came from Ping's older access model and is being deprecated. In flat organizations, existing Managers keep their current direct assignments; the role does not create new client, meeting, or email access. Organization Owners retain the existing broad ordinary client access that applies under the flat Owner model.

Use Org Units for delegated leadership. You can assign one or more leaders to an Org Unit. They receive staff and service-line reporting scope for that unit and its descendants, but leading staff does not grant access to their clients, meetings, or emails.

Org Units are available from Settings → Organization → Settings. Provisioners can turn them on for the organization.

Do not use the Manager role to grant access to clients. Assign clients directly, or turn Client Assignments off if all staff should see every client.
